Job Purpose

To provide a confidential and efficient, quality, support service in the areas of administration to facilitate the smooth running of the school, including providing daily support to the Head Teacher and line management support to all administration staff. To participate in Senior Leadership meetings when necessary.

Main Duties

The job requires specialist knowledge across the authority’s relevant procedures and practices some of which can be complex. There is a requirement for thorough organisational, procedural and policy knowledge pertinent to schools to ensure the day to day management of the operation of the school’s administration team.

Þ Responsibility for interpreting information and situations by analysing, judging and being creative

Þ To analyse and use judgement to interpret complex information to solve difficult problems and develop plans to create solutions

Þ To use interpersonal and communication skills to train financial administration staff; in extensive contact with staff, parents and all other stakeholders.

Þ To be responsible for monitoring the absence and return to work of all employees

Þ To communicate orally, in writing, by telephone and via technological means with a range of stakeholders at all levels

Þ To use ICT and computerised management systems confidently and with precision and speed

Þ To be able to organise and prioritise own workload ensuring that all deadlines are met

Þ To progress activities within agreed procedures making frequent decisions and using initiative without ready access to more senior staff

Þ Ongoing physical effort , more than at a basic level, working for a sustained time at a computer but also moving around and sometimes moving or lifting items

Þ Requiring enhanced periods of mental attention in order to meet deadlines whilst being

able to manage continual interruptions and conflicting demands causing considerable high levels of pressure

Þ To cope with the emotional demands of being the first point of contact with people in difficult circumstances or highly emotional states and being able to exercise appropriate skills to de-escalate issues and refer to the appropriate person if necessary

Þ Ensure that the service that is provided by the school has a direct, positive impact on those that it serves

Þ To have considerable direct responsibility for the supervision, co-ordination, direction and development of the financial administrator, Site Manager and Kids’ Club Manager by allocating and monitoring of work and providing on-the-job training

Þ Limited responsibility for financial resources

Þ To be responsible for maintaining the safety of all pupils and staff within the school by maintaining the Single Central Record; checking on the identity of all staff, contractors and volunteers and ensuring that all are checked as appropriate – either list 99 or an enhanced DBS clearance

Þ To provide a comprehensive secretarial and administration service to the Head Teacher

Lead and manage the Finance Administrator, Site Manager and Kids’ Club Manager by:

Þ Organising the daily workload

Þ Performance Management of these staff

Þ Ensuring that the responsibilities of absent staff are covered

Þ Giving advice and assistance to these staff

Þ Dealing with problems as they arise

Þ Planning of Inset days and school holidays for site staff

Þ Ordering of resources for the team

Þ Organising training for the team

Þ Forward planning of future events

Þ Being responsible for the staffing of the Site Manager and Kids’ Club

Other duties

Þ To be responsible for stock by auditing, ordering, distributing to all staff

Þ Maintaining personnel records

ÞReconcile school purchase cards with Oracle

ÞManage school lettings, billing as required

ÞAdminister the school fund account

ÞManage all staff Health and Safety training through the Council Portal

ÞManage school dinner debt

ÞComplete DBS applications for new staff and volunteers

ÞLiaise with School Catering to monitor delivery of SLA

Generally

Þ Contribute to the overall aims and targets of the school

Þ Take initiative in establishing and supporting positive and constructive relationships across the school community and with all stakeholders, including parents and children.

Þ Be aware of, and take part in, relevant professional development programmes

Þ Assist with the delivery of policies and procedures relating to child protection, health, safety, welfare, security, confidentiality, equality of opportunity and data protection, reporting any concerns to the appropriate person

Þ Be responsible for promoting and safeguarding the welfare of children, young people and vulnerable adults

Þ Be responsible for own Health and Safety in line with the School Health and Safety Policy

Þ Contribute to identifying and meeting any job related development needs

Special Responsibilities

To undertake responsibility for upkeep of the Single Central Record on a daily basis and act as support to other Business Managers in the locality.

Undertake any other duties in line with the purpose of the role, which may reasonably be required by the Head Teacher
